AgentWarm ("we", "us", "our") operates the AgentWarm email warmup platform and API at agentwarm.com and app.agentwarm.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

2. Information We Collect

Account Information: When you sign up, we collect your name, email address, and authentication credentials via Google OAuth or Microsoft OAuth.

Email Account Credentials: To perform warmup, we require access to your email accounts. For OAuth providers (Gmail, Microsoft 365), we store encrypted OAuth tokens. For IMAP/SMTP accounts, we store encrypted connection credentials. All credentials are encrypted with AES-256-GCM at rest.

Usage Data: We collect analytics about warmup performance, including emails sent, received, bounce rates, inbox placement rates, and reputation scores. This data is associated with your email accounts.

API Logs: We log API requests for security, debugging, and audit purposes. Logs include request timestamps, endpoints accessed, IP addresses, and response codes.

Payment Information: If you subscribe to a paid plan, payment processing is handled by Stripe. We do not store credit card numbers on our servers.

3. How We Use Your Information

• To provide and maintain the email warmup service
• To send warmup emails on your behalf and manage reply interactions
• To monitor deliverability, reputation, and account health
• To process payments and manage billing
• To send you service-related notifications (e.g., warmup milestones, alerts)
• To detect, prevent, and address technical issues and abuse

4. Email Content

AgentWarm generates warmup emails to build sender reputation. We do not read, analyze, or store the content of your personal or business emails. Warmup emails are generated by our system and sent between accounts in our warmup network. We access your inbox only to detect and rescue warmup emails from spam folders.

5. Data Sharing

We do not sell your personal information. We may share information with:

• Service Providers: Stripe (payments), cloud infrastructure providers (hosting), email service providers (for warmup delivery)
• Legal Requirements: When required by law, subpoena, or government request
• Business Transfers: In connection with a merger, acquisition, or sale of assets

6. Data Security

We implement appropriate technical and organizational measures to protect your data:

• All credentials encrypted with AES-256-GCM at rest
• TLS encryption for all data in transit
• Rate limiting on all API endpoints
• Full audit logging of all operations
• OAuth tokens are refreshed automatically and never exposed in API responses
• Regular security reviews and dependency updates

7. Data Retention

We retain your account data for as long as your account is active. Analytics data is retained according to your plan (7 days for Free, 90 days for Pro, unlimited for Enterprise). When you delete your account, we remove your personal data and credentials within 30 days. Anonymized aggregate data may be retained for analytics purposes.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict processing of your data
